Claimspindle · Information handling
Privacy policy
This page describes information handling reflected in Claimspindle’s appeal request and clinic inquiry features. An appeal request or a supporting record may contain health-related information. The clinic inquiry form asks you not to include patient identifiers or clinical details.
Information you may submit
An appeal request asks what kind of denial you received, the insurance company or plan, and whether you know the appeal deadline. Depending on the denial, it may also ask for a service or medication name, service date, claim or reference number, and a brief description of the circumstances. The form asks for your email address and allows an optional name. It asks you to keep sensitive health details out of free-text answers and provides a separate document step if you choose to share records.
A clinic inquiry asks for the clinic and contact names and a work email. Phone number, specialty, and additional context are optional. It also asks which topics the clinic wants to discuss. Please do not include patient identifiers or clinical details in that inquiry.
How requests are used and stored
When you submit a request, the app saves a snapshot of the form, your answers, and your contact email in its service-intake database. Requests can be submitted while signed out. When you submit while signed in, the request can be associated with your account and, when applicable, your practice workspace. The app also sends the submitted answers in an email notification for the company team.
Access to linked requests
The app checks the signed-in user’s access to a linked request before returning case details or documents. Access is based on the request’s account ownership or, where applicable, membership in its practice workspace. Administrator request tools require an administrator role.
Optional attachments
After an appeal request is linked to an account, you can choose to add up to five supporting documents, up to 10 MiB each, in PDF, JPEG, PNG, or WebP format. The app encrypts file contents before sending them through Polsia’s R2 proxy to Cloudflare R2 and stores attachment metadata with the related case. You can submit the request without documents.
Optional appeal drafts
If you choose “Generate appeal draft” from a linked appeal case, the app sends structured case answers through the Polsia AI proxy and saves the generated draft in the app database. Uploaded file contents are not included in that request.
Site analytics
When analytics is configured for a deployment, the browser sends an analytics beacon on page load. The beacon includes the configured app slug and a visitor ID stored in or read from local storage.
